Job description: Job Description An Administrative Officer is responsible for managing and coordinating various administrative tasks and functions within an organization. This role plays a crucial part in maintaining efficient operations, supporting staff, and ensuring that the administrative aspects of the business run smoothly.
Office Management: Manage daily operations of the office, including scheduling, maintenance, and supplies procurement.
Communication: Facilitate effective communication within the organization, including handling internal and external inquiries, emails, and phone calls.
Documentation: Maintain and organize records, files, and documents, ensuring they are easily accessible and properly archived.
Coordination: Coordinate meetings, conferences, and events, including scheduling, room bookings, and logistical arrangements.
Budget Management: Assist in budget preparation and monitoring, tracking expenses, and ensuring adherence to financial guidelines.
Data Entry and Analysis: Input data into systems, prepare reports, and perform basic data analysis to support decision-making.
Facility Maintenance: Oversee office maintenance, repairs, and cleanliness, ensuring a safe and functional work environment.
Policies and Procedures: Assist in the development and implementation of administrative policies, procedures, and guidelines.
Confidentiality: Handle sensitive information and maintain confidentiality while dealing with personnel and organizational matters.
Project Support: Provide administrative support for various projects, including tracking progress, preparing documentation, and assisting project managers.
- Hsc or Bachelor’s degree in business administration, management, or a related field (or equivalent experience).
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and other relevant software.
- Attention to detail and problem-solving abilities.
- Ability to work independently and collaborate effectively in a team.
- 3-5 years of experience working in a professional setting.
- Prior experience in administrative roles, Accounting and Shipping is advantageous.
- Knowledge of office equipment and basic IT troubleshooting is a plus.
- Training will be provided to the new employee.
